Party Leader Information
We fully recognise the demands in time and responsibility you experience when preparing your tour. Our duty to you therefore is to help shoulder as much of the burden as possible and provide assistance wherever we can. A team who are as expert in customer care as they are in working with our groups in resort will answer your calls to our office.

Approval to Travel
We can provide information from the DFES that will help you to prepare and launch your tour in accordance with recognised 'best practise'. This will help when you approach your school decision-makers or local authority

Newsletters
We produce a term-time newsletter to allow you to be the first to hear about special offers, latest destinations and exciting trips.

Parents Evening
An integral part of your tour preparation will be a Parent's Meeting. Pavilion Tours will do as much as possible to lend its support and encouragement. Where possible, this may involve a member of Pavilion staff (usually our regional Travel Advisor) being in attendance. Please note however, that this is not always feasible and you should check for staff availability prior to advertising your meeting. We would also remind you that it is our policy not to attend meetings for Party Leaders who have already travelled on a site inspection visit.

In the absence of a Pavilion staff member attending your meeting, we have devised a simple set of guidelines on a Power Point CD that will lend a professional edge to your evening. Contact us for further information.

Inspection Visits
Pavilion Tours are conscious of the pressure on Group Leaders and Educational Visit Coordinators (EVCs) to produce risk assessments for all school travel. To assist in this task, we would encourage you to preview your chosen Pavilion programme on an organised Inspection Visit. If you already have a Firm Booking with us, you may even qualify for a free or discounted place. Further details can be obtained by contacting our office.

Contacting other Party Leaders
Throughout Schools and Colleges in the UK, in BFPO and in International Schools, we have a network of experienced party leaders who have volunteered to act as an independent reference point, whether this is your first time with Pavilion Tours or you are planning to visit a new Pavilion resort. Contact us for details.

Financial Security
Pavilion Tours is part of the School Tours division of the Schools Travel Group plc. The Group holds an Air Travel Organiser's Licence (ATOL) granted by the Civil Aviation Authority (CAA) and is a full bonded member of the Association of British Travel Agents (ABTA). This means that all monies paid to us are fully protected at all times and your tour booking is subject to regulated codes of conduct.

Party Leader Responsibilities
In signing the Booking Form, the Party Leader also accepts responsibility for the good conduct of all party members during the tour. At least one responsible adult must be on duty at all times to ensure that group members behaviour is acceptable and safety is not put at risk.

Party Leader Family Concessions
Pavilion Tours offers special travel concessions to enable Party Leaders to travel with their families. Further details can be obtained by contacting our office.

Once your Pavilion tour has been confirmed, we will provide you with a unique booking reference and a password, to enable you to access our Booking Admin, where you can view and download documents for your tour.

Sportswear and Sports equiptment
We are frequently asked whether we can supply souvenir tour shirts, sports clothing, ski gear and accessories for our groups. Our specialist clothing partners at DKW Sportswear will supply all your clothing needs. Items can be customised (embroidered or printed) to your group or individual tour members' specification.
