Your Quote
To assist with planning your next tour, we will issue you with a tailor-made price quote within 48 hours, detailing everything that is included in your tour package and clearly indicating any optional extras.

Provisional Booking
We can provisionally reserve your booking for six weeks giving you plenty of time obtain approval to travel from the necessary management and authorities. This is also the time to write to parents requesting a show of commitment in the form of a first deposit (we recommend your tour participants are advised that their deposit payments will be non-refundable).

Confirming Your Booking
When you have collected all deposits you will be ready to book. We will need a single payment cheque (payable to Pavilion Tours), a signed and completed Air Booking Form or Coach Booking Form and a completed Names List (Air / Coach) to confirm your provisional booking.

Deposits
Deposits are payable per paying member in three stages as detailed below. All are non-refundable in the event of cancellation.

  • First Deposits are required to confirm your booking
  • Second Deposits are due 8 weeks after you have submitted your first deposits
  • The Final Balance payment is due at least twelve weeks before departure - you will receive an invoice showing the balance due

    • Please note that we are unable to release your final travel documentation until the balance payment has been received.

    Travel Documents and Final Travel Information
    Your air tickets, ferry reference, final itinerary and other travel details will be sent to you between two and three weeks before departure. This should be noted in case you are planning a parents' briefing.

    Late Booking
    Any booking made within 20 weeks of departure will be considered a Late Booking. We will require immediate single payment of first and second deposits: £100 per person for coach tours, or £200 per person for air tours.
